At Vergina Rooms, we recognise that securing personal data is an important issue. We developed this policy to explain our practices regarding the safeguarding of the personal data we collect when you visit our website, as well as our practices regarding personal data obtained from other sources, such as written or telephone communications or the information we provide when you visit our accommodation.

Please note that this policy does not apply to the processing of personal data that is included and subject to third party liability, such as e.g. airlines, car rental companies and other service providers, such as companies that organise or offer packages, commercial associates etc.

Your consent to this Privacy Policy is essential. Unfortunately, if you do not agree with it, you should stop using our service. If you agree with our Privacy Policy, you are ready to make a reservation.

Accommodation file and event book-COVID-19

For the purposes of public health protection measures, management of facility must keep a record of staff members and all persons staying at the hotel – name, nationality, date of arrival and departure, contact details (address,
phone, e-mail) – to make it possible to communicate with any close contacts case of COVID-19, which may be identified afterwards.

Personal data we collect and why.

To make a room reservation and to allow our communication with you, for updating you on matters related to your reservations and on our offers, disclosure of certain personal data is required, such as your full name, address (sender and recipient), telephone number, e-mail address and, in case of credit card payment, the details of the latter. Your credit card is used only for the specific transaction you have requested. Your credit card details are saved with your user details up to your departure date from the hotel. Upon payment of your accommodation and your departure, the details regarding your credit card are deleted. We may also ask for the names of your travelling party and any preferences as to your accommodation.

We also collect personal information when you communicate with Vergina Rooms in various ways, such as your signing up in our hotel’s newsletters or via the communication form we provide. If you follow this option, you will be asked of your name and e-mail address, along with the text of the message you choose to include. When using this feature, you grant us the right to enter and use your name and e-mail address for communication purposes, for informing you of various topics related to your requests and of our news and offers.

However, we also get information on you from other sources. These include business associates, such as travel agencies or other websites. All information we receive from these sources may be combined with the information you have provided to us. For instance, booking services via the Booking.com website or other on-line associates. By using some of the above, you provide the information of your reservation to our business associate, who then forwards it to us. Furthermore, we use third party service providers to facilitate the payments of our accommodation guests. These service providers disclose the payment information, to allow us to handle your reservations and to ensure that everything works smoothly for you.

In case a refund is requested for your reservation, either by you or by the holder of the credit card used to make your reservation, we may need to disclose some of the reservation information to the payment service provider and the relevant financial institution, for handling the money refund. This information may include a copy of your reservation confirmation or the IP address from which your reservation was made. We may also need to disclose information to the relevant financial institutions, in case we deed that this is required for reasons of fraud prevention and identification.

Minors’ personal data

Minors wishing to use our services are required to have their parents’ consent, who are solely responsible for submitting the personal data of their children.

Links to other websites

Our website may contain links to third-party websites. Please note that we are not responsible for the collection, use, maintenance, distribution, or disclosure of data and information by third parties. If you provide personal data to third-party websites, they shall be governed by the privacy policy and the terms of those services. Non-personal information

Like other websites, our website may use “cookies” or other technologies to help us deliver content relevant to your interests, in order to process your reservations or requests and/or to analyse the plans of your visit. Vergina shall take the appropriate measures: to protect the personal data collected from any unauthorized access, the disclosure, alteration or destruction thereof and to keep and update personal data in accordance with the law. We also seek and require our service providers to make every effort to ensure the confidentiality of your personal data. As regards on-line transactions, we use modern technology to protect the personal data you transmit to us through our website, such as SSL “Secured Sockets Layer” protocols, Firewall, antivirus, anti-malware etc. Unfortunately, no security system or data transmission system through the internet can be guaranteed as fully safe.

To ensure your personal data protection, we advise you not to include sensitive personal data in any e-mails you send us. Please do not send us your credit card numbers or any sensitive personal information via e-mail.

Your personal data will not be used for purposes other than the foregoing without your consent, and in no case will we publish, disclose, exchange or sell them to third parties. Moreover, Vergina does not guarantee that the pages, services, options and contents will be provided without interruptions, without errors, that the errors will be corrected or that answers will be provided to all questions made. Similarly, it does not guarantee that the servers through which the content is made available to visitors/users are provided without viruses or other harmful components. The cost of any corrections or services is borne by the guest/user and under no circumstances by Vergina Rooms.

Applicable law and other terms

The above terms and conditions of use, as well as any amendment or change thereof, are governed by the national law, Community law and the relevant international treaties. This document constitutes the entire agreement between Vergina Room and the guest/user of its pages and services and is binding for said parties only. No amendment of these terms shall be taken into account and shall constitute part of this agreement, unless expressed in writing and incorporated herein.
It is hereby expressly agreed that any disputes arising from the application of these terms, in case they are not amicably solved, are governed by Greek law and subject to the jurisdiction of the Courts of Thessaloniki.
